# ClientOS: Your Privacy Choices

ClientOS gives you full control over your data. Everything is stored locally on your device. We have no access to it. Here is what you can control.

## What You Can Control

### App Lock and Security

-   **Password protection:** set a custom password to lock the app. Change it at any time in Settings > Security
-   **Face ID / Touch ID:** enable or disable biometric unlock in Settings > Security. Your biometric data is handled by Apple and never accessed by the app
-   **Auto-lock timer:** choose how long the app stays unlocked during inactivity (1 to 30 minutes). Default is 5 minutes
-   **Recovery key:** save your 32-character recovery key to reset your password if forgotten. You can view it again in Settings > Security

### Client Data

-   **Add, edit, or delete** any client record at any time
-   **Sensitive fields** (ID numbers, BP IDs) are encrypted with AES-256. They can only be viewed when the app is unlocked
-   **Import contacts** from your device. This copies contact information into the app. Your original contacts are never modified

### Lead and Business Data

-   **Create, update, or delete** leads and submitted business records
-   **Change lead status** at any time. Move leads through your pipeline or mark as won/lost
-   **Update business status:** track from pending to issued, or mark as cancelled/lapsed

### Calendar

-   **Sync with Apple Calendar:** enable or disable at any time by managing calendar permissions in iOS Settings
-   **Create and delete events:** events you create in the app can optionally sync to your device calendar
-   **Linked events:** events can be associated with specific clients or leads

### AI Features

-   **On-device only:** AI features use Apple's Foundation Models. No data is sent to any server
-   **Opt-in usage:** AI features (lead scoring, email drafts, note summaries) are triggered by you, not automatic
-   Available on iOS 26+ with Apple Intelligence support. Older devices use rule-based alternatives

### Data Export

-   **Export your data** at any time in Settings > Data > Export
-   **Choose format:** CSV or PDF
-   **Date range filtering:** export all data or a specific time period
-   **Sensitive data toggle:** choose whether to include or exclude encrypted fields in exports

### Backup

-   **Backup to iCloud Drive:** encrypted backup stored in your own iCloud account
-   **Manual or automatic:** choose backup frequency (Hourly, Daily, Weekly, or Manual Only)
-   **Restore:** restore from any previous backup
-   **Delete backups:** remove individual backup files from your iCloud Drive
-   **Wi-Fi only option:** restrict backups to Wi-Fi connections

### Reports

-   **Generate reports** on your pipeline, commissions, and client portfolio
-   **Export reports** to CSV or PDF
-   **Data stays local:** reports are generated on-device from your local data

### Theme and Appearance

-   **System / Light / Dark mode:** choose in Settings > Appearance
-   **Profile avatar:** set your own photo or use generated initials with a colour of your choice

## Deleting Your Data

### Delete Specific Items

-   Swipe or tap to delete individual clients, leads, business entries, interactions, or calendar events
-   Deleted data is permanently removed from the device

### Reset All Data

-   Go to **Settings > Data > Reset All Data**
-   This permanently deletes all clients, leads, business, interactions, events, settings, and your profile
-   This action cannot be undone. Your recovery key will also be invalidated
-   The app returns to the setup wizard as if freshly installed

### Uninstall the App

-   Deleting ClientOS from your device removes all local data permanently
-   If you have iCloud backups, those remain in your iCloud Drive until you delete them manually
-   We have no servers and store no data. Uninstalling completely removes everything on our end (because there is nothing on our end)

## What We Never Do

-   ✗ Collect or transmit your personal or client data
-   ✗ Track your app usage or behaviour
-   ✗ Share data with any third party
-   ✗ Serve advertisements of any kind
-   ✗ Use cloud AI services. All AI processing is on-device
-   ✗ Require an account. No registration, no login, no server
-   ✗ Access your data. We hold no copy on any server; your data is stored on your device
-   ✗ Sell or monetise your data in any way
-   ✗ Include third-party SDKs. Zero tracking libraries, analytics tools, or ad networks
